In Adviseraide, the client profile serves as the central hub for managing all information related to a client. It brings together their personal details, associated contacts, addresses and a complete overview of their cases while keeping each matter clearly separated. Whether a client has one case or several, every case is stored in its own record with its own notes, documents, reminders, invoices and communications. The sections below explain how the client profile is organised and how to navigate each part effectively.
Client Profile Overview

Overview Tab

The Overview tab displays editable client Personal Information fields on the left. Here you can enter or update the client’s First Name, Last Name, Email, Phone Number, Date of Birth, Time Zone, Client Number, Business Name, assign users to the client and write a Description. After making changes, click Save Changes to save your updates.

Client Cases

On the right side of the Overview tab is a Cases card that lists all cases created for this client.
Cases Card
The card shows each case’s Category, Status, Total Invoices. If a client has more than one case (for example, a student visa application and a visitor visa), they all appear here, clearly separated. To open one of the cases, click the Category or the pencil icon next to it; to start a new case for the same client, click Create Case on the card.

Family & Contacts Card

Below the Cases card on the right side is the Family & Contacts card, which displays linked family members and related clients.
Family & Contacts Card
This card shows:
  • Linked clients – Other clients in your system who are related to this client (spouse, partner, parent, child, etc.)
  • Contact information – Name, relationship type, and cases (for linked clients)
  • Quick actions – Click Link Existing Client to connect another client, or Add New Family / Contact to create a new contact record
This provides a quick overview of the client’s family relationships and makes it easy to navigate to related client profiles.

Employers Card

Further down the right side is the Employers card, which displays employment relationships.
Employers Card
This card shows:
  • Linked employers – Companies or organizations where the client works or has worked
  • Employment details – Employer name, employment dates (start and end), and description
  • Quick actions – Click Link Existing Employer to connect an employer already in your system, or Create Employer to add a new employer and link them immediately
This helps track the client’s employment history, which is particularly useful for work visa applications and sponsorship cases.

Client Address

Scrolling further down on the left reveals the Address section.

Use Add Address to record the client’s addresses. Each entry includes fields for address lines, suburb, postcode, effective date and whether the address is primary. To ensure accurate addresses are captured, google map search is available in the add address screen.

Cases Tab

Cases Tab
The Cases tab in the client profile provides a more detailed list of the client’s cases. Each row displays the Case Number, Status, Description, Due Date, Case Category, Assigned To, Total Invoices and Actions. Use the Create Case button in this tab to open a new case for the client. This design means that advisers can quickly see all of a client’s cases at once and ensure that information from one case never gets mixed with another.

Family & Contacts Tab

Family & Contacts Tab
The Family & Contacts tab provides a comprehensive view of all relationships connected to this client. This tab displays a detailed grid with the following columns:
  • Name – The full name of the family member or contact
  • Linked As – Shows whether this is a “Client” (existing client in your system) or “Contact” (a contact record)
  • Relationship – The relationship type (e.g., Spouse, Partner, Parent, Child, Sibling, Other)
  • Cases – For linked clients, displays their cases with status tags. This allows you to see the immigration status of related family members at a glance
  • Phone Number – Contact phone number
  • Email Address – Contact email address

Managing Relationships

Use the action buttons at the top right:
  • Link Existing Client – Connect another client already in your system. This is useful when managing family applications where multiple family members are your clients
  • Add New Family / Contact – Create a new contact record for family members or related contacts who aren’t clients yet
Click any row to view or edit the relationship details. For linked clients, you’ll see their full profile information. For contacts, you can edit their personal details and relationship type.
Family Case Management: When you link existing clients (like spouses or children), their cases appear in this tab. This makes it easy to track the immigration status of the entire family without switching between different client profiles.

Why separate cases?

Clients often have more than one immigration case. Adviseraide recognises this by letting you open multiple cases per client. Each case has its own profile page with dedicated tabs for overview, documents, notes, reminders, invoices, forms, contracts and emails (see Understanding the Case Profile). This logical design keeps data clean: notes or documents from a student visa case are never confused with those from a work permit or citizenship application. Advisers can confidently manage complex client relationships knowing that every case remains isolated and organised.
