A client reminder emails your client before an important date. For example, if a client’s work visa expires on 18 December, add a Visa Expiry reminder with that date. AdviserAide then emails the client 90, 30 and 7 days before their visa expires, so they have time to renew. You add the date once, and the emails are written and sent for you.

Open the client's Reminders tab

Open the client’s profile and select the Reminders tab. Then select Add Reminder.

Fill in the reminder

  • What is this reminder for? - Choose what the date is, such as Visa Expiry or Passport Expiry. A blue box shows how many emails will be sent and when.
  • Expiry Date - Enter the date. Depending on what you chose above, this may be called Due Date or Date. Underneath, AdviserAide shows the exact dates the emails will go out.
  • Recipients - Who gets the email. The client is already selected. You can also add any of the client’s contacts.
  • Internal notes (optional) - Notes for your team, such as a passport number. These are never included in the email.

Only people saved on the client’s profile can be chosen. To email a partner or family member, add them on the client’s Family & Contacts tab first. Everyone you choose needs an email address.

Save

Select Save. The reminder now appears on the client’s Reminders tab. You do not need to do anything else - the emails go out on the dates shown.

From a case

Open the case, select the Reminders tab, select Client Reminders, then select Add Reminder. The reminder is linked to the case.

From the Reminders page

Select Reminders in the left menu, select the Client & Employer Reminders tab, then select Add Reminder. In the window that opens, choose the client first under Client / Employer, then fill in the rest as above.

From a case document

This is useful for documents with an expiry date, such as a passport. Open the case, select the Documents tab and select the document. When the document opens, select Add Reminder at the top.

Once saved, the reminder is shown on the document. Each document can have one reminder. Select Edit reminder to change it.

See all client reminders

Select Reminders in the left menu, then select the Client & Employer Reminders tab. Every reminder in your organisation is listed here.

See the next emails due and the emails already sent

  • Next Reminders - The next email due to go out. Hover over +2 or similar to see the rest.
  • History - How many emails have been sent. Select it to see when each one went out and who it went to.
Use Filter by Type to show one kind of reminder, such as Visa Expiry, or Filter by Next Reminder to see the emails going out soon.

When the reminder is no longer needed

When the client gets their new visa, tick the box at the start of the reminder’s row. No more emails are sent, and the reminder moves to Completed Reminders. Then add a new reminder with the new expiry date. To change the date or recipients, select the reminder, make your changes and select Save. To remove it, select the reminder and select Delete.

Change the email for one client

Every Visa Expiry reminder sends the same email. To use different wording for one client only, open their reminder and expand Email for this reminder. Change the Email Subject or Email Body, then select Save.

To go back to the standard email, select Use the reminder type’s email. To change the email for every client, see Reminder emails and timing.

Good to know

  • Emails are sent from 9:00 am in your organisation’s time zone.
  • If some of the send dates have already passed when you add the reminder, only the future emails are sent.
  • If the date is too close for any email to go out, the reminder is not saved and a message explains why. See Troubleshooting.
  • If you can only manage assigned clients, you only see reminders for the clients assigned to you.
